Organization Summary

Project Sunshine’s mission is to bring the healing power of play to children with medical needs through trained and dedicated volunteers. Our programs include in-person play with patients (Here to Play), curated activity kit deliveries (Kits for Play), and live, virtual play sessions (TelePlay). Over 18,000 trained volunteers deliver programs that provide opportunities for creative expression, socialization, intellectual stimulation, and sensory integration to approximately 250,000 pediatric patients and families each year. Our unique volunteer engagement model allows community groups, colleges, and corporations to create moments of connection with pediatric patients, caregivers, and families providing child and family-centered, play-based programming. Project Sunshine partners with 500 medical facilities across the U.S., Canada, Kenya and Israel.

Position Summary

The Chief of Staff will serve as the CEO’s trusted adviser, manage operations to support a staff of 25 professionals, support board relations and implement special projects at a growing organization with an ambitious growth plan. They will build strong relationships with team members across the organization to solve problems, support collaboration and maintain momentum. The Chief of Staff will drive operational excellence and foster a culture of high performance. This position is ideal for a strategic thinker with a deep commitment to our mission and a demonstrated ability to navigate organizational landscapes.

Principle Responsibilities

Operational Excellence:

  • Streamline and support the organizations’ operational frameworks to enhance efficiency and increase collaboration and information sharing across the organization to strengthen impact and outcomes
  • Manage operations vendors (insurance providers, professional employment organization, financial consultants, bill payment service, IT) to ensure efficiency and compliance
  • Partner with the CEO to lead annual budgeting process, annual work plan development and annual evaluation process across departments and individual staff
  • Partner with leadership team members and Manager of Operations on onboarding and offboarding, professional development and trainings, and other ongoing human resources related projects and tasks
  • Supervise Manager of Operations and Salesforce Administrator

Board Engagement and Governance:

  • Partner with the CEO to support the development of comprehensive agendas, briefing materials and presentations for board meetings
  • Serve as the staff lead for the Finance and Investment Committees
  • Liaise on management and reporting around Project Sunshine’s 5-year strategic achievements and goals

Financial Stewardship:

  • Collaborate with the part-time CFO to oversee financial planning and monthly reporting, annual budgeting, and fiscal management, ensuring the effective allocation of resources toward strategic objectives.
  • Monitor financial reports and provide insights to enhance financial performance and organizational sustainability.

Technology Management:

  • Liaise, support and manage Salesforce Administrator on the management, development and advancement of Sunshine Central
  • Together with Office Manager, liaise and manage IT consultants to support day-to-day technology needs and troubleshooting for PS staff

Qualifications:

  • At least 7 years of progressive experience in leadership positions within the non-profit sector.
  • Exceptional analytical, problem-solving, and decision-making skills, with a proven track record of driving strategic initiatives.
  • Highly developed interpersonal and communication abilities, with the capability to engage effectively with diverse stakeholders.
  • Strong understanding of non-profit dynamics, fundraising, and financial management practices.
  • Strongly developed written and verbal communication skills
  • Familiarity with Salesforce and ability to measure outcomes
  • Highly resourceful and a strategic mindset

Project Sunshine has a hybrid work policy that is subject to change based on the needs of the organization at a given time. Staff members in the greater New York City metropolitan area are expected to maintain 3 days in-person at the Project Sunshine office on Mondays, Tuesdays, and Thursdays.
