Executive Assistant/Chief of Staff (Remote, Eastern US Time Zone)

Overview

A dynamic and highly-opinionated VIP seeks a skilled and dedicated Executive Assistant/Chief of Staff to provide top-level administrative support and coordination for various business, personal, and philanthropic endeavors. This fully remote position requires a highly-organized and proactive individual who thrives in a fast-paced environment and is comfortable managing a wide range of responsibilities.

Responsibilities

Coordinate and manage VIP's calendar and schedule, including prioritizing appointments and resolving scheduling conflicts

  • Manage and prioritize email correspondence, ensuring timely responses and appropriate follow-up
  • Act as a liaison between the VIP and internal/external stakeholders, maintaining clear communication and strong relationships
  • Organize and maintain digital and physical files, databases, and records
  • Conduct research and prepare briefings, reports, and presentations
  • Plan and execute special projects and events, managing timelines and coordinating with vendors
  • Handle personal and business-related tasks as needed, such as coordinating travel arrangements, processing expense reports, and managing household staff
  • Anticipate the VIP's needs and proactively identify opportunities to optimize workflows and processes
  • Maintain strict confidentiality and discretion with sensitive information
  • Remain flexible and adaptable to changing priorities and demands

Requirements

  • Bachelor's degree or equivalent experience in a related field
  • Minimum 5 years of experience as an Executive Assistant, Chief of Staff, or similar role supporting a high-level executive or VIP
  • Excellent organizational, time management, and communication skills
  • Proficient in Microsoft Office Suite and collaboration tools such as Google Workspace
  • Demonstrated ability to handle complex situations with patience, diplomacy, and discretion
  • Resourceful and proactive problem-solver with the ability to work independently
  • Experience working remotely and managing virtual communication
  • Must be located in Eastern US Time Zone
