Role Overview

  • This position provides critical project and administrative support in a dynamic, fast-paced environment in Pasadena, California. It is not a remote or hybrid role.
  • The qualified candidate must manage projects, site initiatives, use various Lilly software and scheduling systems, and collaborate cohesively with colleagues across multiple business units and sites.
  • Supports the head of the Pasadena site and serves as chief of staff to the VP of Protomer team, assisting with procurement, scheduling, planning, execution, and meeting tracking.
  • Requires coordination with business unit colleagues, administrative assistant community, internal/external partners, and vendors.
  • Needs a proactive, organized, detail-oriented team player with a strong sense of engagement and urgency to complete tasks.

Responsibilities

Provide Administrative Support to the VP of Protomer and Chief of Staff (50%)

  • Provide administrative support for the VP of Protomer
  • Manage emails and interactions, schedule meetings, and handle requests for the VP
  • Calendaring, meeting coordination, and primary support to the site head
  • Maintain calendars, organize meetings, travel, and expense reports
  • Serve as a site concierge, coordinate conference rooms, answer correspondence, and arrange travel
  • Process expense reports, perform additional scheduling duties

Projects Tracking and Support (50%)

  • Act as a liaison with regards to operational processes
  • Update internal team timelines and task trackers, take meeting minutes, and coordinate seminars
  • Purchase chemicals and supplies, prepare metrics, track budget, and lead key meetings
  • Own SharePoint sites, Teams pages, and databases as assigned

Basic Qualifications

  • Bachelor's degree
  • Candidates must be legally authorized to work in the United States

Additional Preferences

  • Working 5 days/week in Pasadena office with typical working hours 8 AM to 6 PM
  • Support C-suite and be responsive as needed, including evenings and weekends
  • Bachelor's degree in a science discipline highly preferred
  • 5 years of administrative assistant/business support experience in Biotech/Pharma preferred
  • Project management skills, flexible to changes, travel booking, and complex meeting scheduling experience
  • Professional demeanor, excellent communication skills, and ability to work in a fast-paced, multitasking environment
  • Collaborative, attentive to detail, problem solver, experience supporting multiple individuals, and ability to maintain confidential information

Additional Information

  • Base salary range $53,250-$101,200
